Data Storage & Security Architecture

Architecture: Local-First Desktop Storage Cloud Reliance: Zero Mandatory Cloud Sync Owner: Ravi Kumar AI (Noida, Uttar Pradesh, India)

CleanerDesk is built from the ground up around a local-first architectural philosophy. Unlike conventional SaaS platforms that store all your customer contacts and pricing in a remote, multi-tenant database, CleanerDesk keeps your business records on your own personal computer.

1. How Local Desktop Storage Works

When you use CleanerDesk, all operational business records — including customer profiles, property addresses, quotes, job logs, invoices, and expense records — are stored directly on your personal computer:

  • Offline Reliability: CleanerDesk does not require a continuous internet connection. Initial activation and occasional brief internet access are required for license verification; between successful verification periods, you can quote jobs and manage clients offline, including in areas with no connection.
  • Data Sovereignty: Your data does not pass through external cloud databases, marketing tracking beacons, or third-party AI scrapers.
  • High Performance: Because records are read from and written to local device storage, queries, filtering, and quote calculations execute instantaneously.

2. Transparent Security Architecture

We provide practical, verified security mechanisms built directly into the desktop workspace:

  • Property Access Notes: Gate codes, lockbox pins, and alarm steps are stored locally as structured data on your device, protected by your operating system user account security.
  • Local App Lock: CleanerDesk provides an optional PIN/password lock layer in Business Settings. When enabled, users must enter a password to access the application on that machine.
  • Encrypted Backups: CleanerDesk supports optional AES-256-GCM encrypted backup exports, allowing you to protect exported .cqbackup files with a personal encryption passphrase before archiving them.

3. The Essential Habit: Regular Backups

Hardware Protection Advisory: Because records reside on your local machine rather than a remote cloud server, regular backups protect your business against computer damage, hardware failure, or device loss.

To ensure your business records are always protected, we recommend maintaining a regular backup routine:

  1. Open CleanerDesk and navigate to Data & Backup.
  2. Click Export .cqbackup File (with optional encryption password).
  3. Save the exported backup file to your preferred destination — such as a local folder, external drive, network storage, or a cloud-synced folder such as Google Drive, Dropbox, OneDrive, or iCloud Drive.
  4. If you ever replace or upgrade your computer, click Restore Backup and select your .cqbackup file to restore your full operational history.
